TERMS AND CONDITIONS
By registering to the HL7 Philippines Summit 2023, all participants agree to be bound by, and comply with, the following Terms and Conditions. It is the participant’s responsibility to read and understand these Terms and Conditions.
REGISTRATION
1. Physical attendance to the conference is limited only to XXXX slots.
2. Early Bird registration is open by June, 2023, PST (GMT +8) only.
3. It is the responsibility of the participant to select the appropriate ticket classification applicable, which is subject to verification. In the event of a misclassified registration, the organizing committee shall notify the participant through their registered email address of the additional amount that has to be settled prior to approval of their registration.
- To determine the income tier of your country of origin, kindly refer to the stratification set by the World Bank through https://datahelpdesk.worldbank.org/knowledgebase/articles/906519-world-bank-country-and-lending-groups.
- The Physician category includes participants who are currently studying to earn/ or have earned the Doctor of Medicine degree.
- Allied health professionals include Nurses, Paramedics, Emergency Medicine Technicians (EMT), Pharmacists, Medical Technologists, Radiologic Technicians, Respiratory Therapists, Physical and Occupational Therapists, Midwives, among others.
- Accompanying guests shall be allowed full access to the convention proper, the tours, and to the meals to be served therein, however they will not receive a certificate of attendance
PHYSICIANS
Medical students, Licensed Doctors of Medicine
ALLIED HEALTH PROFESSIONALS
Nurses, Paramedics, Emergency Medicine Technicians (EMT), Pharmacists, Medical Technologists, Radiologic Technicians, Respiratory Therapists, Physical and Occupational Therapists, Midwives, among others
ACCOMPANYING GUESTS
Accompanying guests of participants shall be allowed full access to the convention, the tours and the meals to be served therein.
5. One-day pass tickets may be availed by those who prefer to attend only one (1) day of the convention. Certificates of partial attendance will be awarded.
6. For the group registration of those joining the EMS competition (groups of 5), all participants in the group should register as a group through the event page. Registration already includes registration to the main conference, as well as their registration to the competition.
7. Accommodation and travel costs are not included in the registration fee.
8. Registration add-ons such as attendance to pre- or post- convention workshops and the special tour packages may be availed of during the initial registration, or separately at a later date until February 28, 2023, 2359H PST (GMT +8).
9. To maintain health and safety protocols, physically attending participants must show proof of vaccination against Covid 19 to claim their ID badge. In lieu of this, a proof of negative Covid-19 status done within 48 hours can be presented.
10. Personalized invitation letters to the convention may be requested from the PCEM Secretariat. Kindly email a letter of request with “INVITATION LETTER” on the subject line to acem2023.reg@gmail.com together with the following:
- Local delegates – full name, designation, purpose of the invitation request, company name, attach 1 company ID with photo and 1 valid government-issued ID
- International delegates – full name, designation, company name/ hospital affiliation, company ID, passport, and certification of membership/ affiliation from hospital or organization.
11. Announcements for any updates or modifications will be posted in the ACEM 2023 registration landing page, at the PCEM website (https://www.pcem.ph), and at the Philippine College of Emergency Medicine official Facebook Page (facebook.com/OnePCEM), if any.
PAYMENT
1. Upon registration, a confirmation email with payment details will be sent to the email address provided.
2. All payments must be made in full through the Dragonpay portal.
3. Email the scanned copy or screenshot of your successful payment transaction with “ACEM PAYMENT” on the subject line to acem2023.reg@gmail.com within seven (7) days from registration.
4. The organizing committee of ACEM 2023 reserves the right to cancel your registration if scanned copy or screenshot of your successful payment transaction is not received within seven (7) days from registration. No Acknowledgment of Payment means no confirmed slot.
5. To those who wish to receive official receipts, kindly select the appropriate option in the registration. The official receipts will only be provided on the release of certificates after the event on April 30, 2023. For company-sponsored participants who wish to receive official receipts issued to their company, kindly select the appropriate option in the registration and indicate company name, company address, and company TIN.
TRANSFER OF SLOT
1. All payments are non-refundable under any circumstances; however, slots are transferable.
2. To transfer a slot, send an email request with “SLOT TRANSFER” on the subject line to email@gmail.com on or before July 30, 2023, 1200H PST (GMT +8). Slot transfers will be subject for approval by the organizing committee.
3. Registrants can only transfer the slot for the same convention set-up: registered physically attending participants can only transfer the slot to another person of the same ticket category who will be physically attending. Same rule applies for registered virtually attending participants.
4. For early bird registrants who wish to transfer the slot, regular rates shall apply. Kindly wait for the organizing committee’s approval of your email request for slot transfer before paying the corresponding additional payment.
